London Pulse Netball ("London Pulse", "we", "us", "our") is the data controller responsible for your personal data. We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Personal Data We Collect

We collect the following categories of personal data depending on how you interact with us:

  • Membership applications: name, email, phone, date of birth, and payment details processed via Stripe.
  • Trial registrations: athlete name, date of birth, school year, playing positions, club/county, parent/guardian contact details, and payment information for purchasable trials.
  • Tournament entries (Road to the Copper Box): team name, age group, contact name, email, phone, and notes.
  • Newsletter subscriptions: email address and name (if provided).
  • Contact and enquiry forms: name, email, phone, and your message.
  • Hospitality and corporate enquiries: name, company, email, phone, and event requirements.
  • Account data: if you create an account, your email address and authentication session data.

3. How We Use Your Data

We process your personal data for the following purposes:

  • Processing membership applications, payments, and delivering membership benefits.
  • Managing trial and tournament registrations and communicating event details.
  • Responding to your enquiries and providing requested information.
  • Sending newsletters and promotional communications (where you have opted in).
  • Operating and improving our website, services, and digital experience.
  • Meeting legal, accounting, and record-keeping obligations.

4. Lawful Basis for Processing

We rely on the following lawful bases under UK GDPR:

  • Contract: processing your data to fulfil membership, trial, and tournament bookings you have requested.
  • Consent: sending marketing communications and newsletters (you can withdraw consent at any time).
  • Legitimate interests: responding to enquiries, improving our services, and operating our website, where these do not override your rights.
  • Legal obligation: retaining financial and tax records as required by law.

5. Third-Party Data Processors

We do not sell your personal data. We share it with the following third-party processors who act on our behalf to deliver our services:

  • Base44 (Wix): Our platform provider hosting the backend infrastructure, database, authentication, and application hosting. Base44 acts as a data processor under our instructions and is owned by Wix.com Ltd.
  • Stripe: Our payment processor for membership, trial, and tournament payments. Stripe processes your card details securely and independently — we do not store your full card information.
  • Resend: Our transactional email provider, used to send payment receipts and confirmation emails.
  • Google Analytics & Hotjar: Website analytics providers, loaded only after you accept cookies via our cookie banner.
  • Social media platforms: Where you interact with our embedded social content (Instagram, YouTube, etc.), those platforms may process data according to their own privacy policies.

Each processor is bound by contractual obligations to protect your data in accordance with UK GDPR.

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected:

  • Membership and transaction records: retained for the duration of the membership season plus 6 years for financial/tax compliance.
  • Trial and tournament registrations: retained for the relevant season and then archived.
  • Newsletter subscriptions: until you unsubscribe.
  • Enquiry data: retained for up to 12 months after resolution, unless a longer period is required.

7. International Transfers

Some of our processors (including Base44/Wix and Stripe) may process data outside the UK. Where this occurs, we rely on appropriate safeguards such as UK International Data Transfer Agreements, and processors' commitments to UK GDPR standards.

8. Cookies

We use three categories of cookies:

  • Strictly necessary cookies: essential for the website to function (e.g. remembering your cookie consent choice). These cannot be disabled.
  • Analytics cookies: Google Analytics and Hotjar, which help us understand how visitors use our website. These are only loaded after you explicitly accept analytics cookies via our cookie banner.
  • Marketing cookies: used to display relevant advertisements on other platforms. These are only loaded after you explicitly accept marketing cookies via our cookie banner.

When you visit our site for the first time, a cookie banner appears asking you to accept or decline each category. You can choose to accept all, decline all, or set granular preferences for analytics and marketing individually. No analytics or marketing scripts are loaded until you give explicit consent.

However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Our trial and pathway programmes may involve athletes under 18. Where we collect data about a child, we do so with the consent of a parent or guardian, who provides the data on the child's behalf. Parents or guardians may contact us at any time to exercise data protection rights on behalf of their child.
